Streamlining EdTech Onboarding at UNSW: Project wrap-up

 

PVCE Educational Innovation celebrates the successful completion of the Streamlining EdTech Onboarding Processes project.

As 2025 comes to a close, PVCE Educational Innovation concludes the Streamlining EdTech Onboarding Processes project. This initiative, launched under the Educational Technology Roadmap 2024-2028, set out to make technology onboarding for new staff simpler, faster, and more effective. Today, we reflect on its achievements and what they mean for the future of learning and teaching at UNSW. 

Why Edtech matters 

Educational technology (EdTech) is at the heart of modern teaching and learning. Tools such as Moodle, Turnitin, Microsoft Teams, and Adobe Creative Cloud enable everything from course delivery to collaboration and assessment. Yet, for new staff, navigating this digital ecosystem can be overwhelming. The project aimed to streamline the EdTech onboarding, training and support processes, ensuring that commencing staff can confidently integrate technology into their work from day one. 

How we got here 

The project unfolded in three key stages: 

  • Stage 1: Consultations 
    We engaged central units and faculties to map current onboarding practices, identify pain points, and propose quick wins. This resulted in a clear picture of existing processes and a draft framework for minimum EdTech capabilities. 
  • Stage 2: Co-Design Workshop 
    A hybrid workshop brought together stakeholders from across UNSW to validate challenges and co-create solutions. From this, 10 high-impact recommendations emerged, covering systems, processes, and training resources. 
  • Stage 3: Validation & Benchmarking 
    Recommendations were benchmarked against best practices from Go8 universities and global insights, supported by a literature review of relevant journal articles. The outcome was a practical roadmap and an EdTech Readiness Self-Assessment Checklist for new staff. 

What we achieved 

The co-design process distilled feedback into three major themes and highlighted the need for an EdTech self-assessment checklist: 

  • Systems: A centralised EdTech onboarding page and shared tracking for training completion. 
  • Processes: Early access to essential tools, a centralised onboarding pack, and a self-assessment checklist for readiness. 
  • Training & Resources: A one-stop contact point for EdTech support, clear capability guidance, discipline-specific best practices, and multi-modal training opportunities. 
  • EdTech Self-Assessment: A checklist to help new starters evaluate their EdTech competence, identify areas for growth, and ensure effective integration of technology in teaching, learning, and academic administration. 

These recommendations form the backbone of the EdTech Onboarding roadmap, which outlines responsibilities and practical steps for implementation. 

Looking ahead 

Although the project has concluded, its impact is yet to come. Next steps include: 

  • Validating and prioritising the roadmap with wider UNSW communities. 
  • Consulting recent hires and managers to better align the Roadmap with their current, lived experiences. 
  • Exploring ways to utilise the readiness checklist in the bigger picture of EdTech onboarding and capability building for commencing and on-going staff. 

This work will ensure that UNSW continues to lead in creating a well-integrated, adaptable digital learning ecosystem that empowers staff and enriches student experiences.
